The Challenge
Social media has evolved: open captions are now the standard for engaging, accessible video content. Grabyo users, however, had to export clips, add captions in external editors such as Adobe Premiere or CapCut, and reimport them for publishing. This created delays, required specialist skills, and disrupted the platform’s fast, near-live workflow.
What I Did
Senior Product Designer & Design Lead, I closely collaborated with the product Owner and worked closely with the devs team to integrate AI transcription, to design a caption feature, refine speed and usability, and to produce documentation to support adoption and future roadmap expansion.
Opportunity
The opportunity was to embed open captions directly into Grabyo’s Live Clipping tool, streamlining the workflow for short-form content while laying the foundation for more advanced social publishing features.
Approach
To inform the design, I benchmarked competing tools and their offerings (CapCut, Adobe Premiere, and other social video editors) and analysed our main clients' actual social output to understand workflow patterns, styling options, and usability strengths and weaknesses.


Then I initiated a cross-departmental discovery process and created a series of structured exercises with Sales, Support, and Marketing to validate assumptions, map workflows whenever possible, and clarify primary user types: social media managers who prioritise speed and simplicity, and video editors who need flexibility and control. I also cross-referenced with 5 main client requests and feedback to identify which requirements were critical for launch and which could be phased.










This research highlighted that the main pain points were context-switching, workflow friction, and skill barriers, rather than the technical complexity of captions alone.
The user needed a simple, quick tool with a broadcast-level quality output
Open Captions
As a key decision, human override should be a first-class feature, not a fallback. If the AI transcription fails, the workflow should not collapse. Designing the manual editing experience to be genuinely usable, fast, clear, and unsurprising was as important as getting the AI right. One workflow, two speeds. Rather than building separate experiences for different user types, the interface reveals complexity progressively. I designed a tool to overlay captions directly on clips within Grabyo. Key features include:

The interface balances speed for social media managers with control for video editors, enabling quick exports or precise adjustments without leaving the platform.
Results
A fully new information architecture, and the migration of the website with a new design and content of the whole website.

While adoption metrics for the beta version are still being tracked, the feature is designed to:
Eliminate multi-tool workflows, reducing time and friction.
Enable faster, more accessible clip creation across teams.

Serve as a foundation for vertical video and future social-first features.
